An embargo that lives only in the subject line will leak in the group chat.
Press embargo English is four sentences the desk, the principal, and the partner all say the same way before the clock lifts. What is locked. When it lifts. Who may preview. What nobody says until then.
Street-smart APAC English: short sentences a tired operator can say out loud.
This is communications process, not legal advice. Counsel clears the live embargo text when the material is sensitive.
This is a companion to our desk-ready pitch email English. That piece writes the pitch for each desk. This one writes the lock that sits on top of a pitch when the story is not public yet.
What are the four press embargo English lock lines?
| Line | Job | Say this (illustrative) |
|---|---|---|
| Lock | Name the object | “The briefing note is under embargo until Wednesday 8:00am PHT.” |
| Clock | Exact time and zone | “Not Tuesday night. Not ‘morning.’ 8:00am PHT.” |
| Preview list | Who already has it | “National desk A and the coalition comms lead only.” |
| Freeze | What staff say if asked early | “I have a note coming at 8:00am. I will not preview the claim.” |
The day, time and desk names are illustrative. Use your real clock, and always write the zone. A regional partner in Singapore or Jakarta reading “8am” will not guess which 8am you meant.

The freeze line is the one that saves you. It lets a tired spokesperson answer an early call without confirming, denying or hinting.
What does the press embargo kill list look like?
| Kill this | Say this (illustrative) |
|---|---|
| “For your eyes only :)” | “Under embargo until Wednesday 8:00am PHT.” |
| “Please don’t share” with no clock | Lock line plus clock line, in the first paragraph |
| “Embargoed-ish” | Either it is locked or it is public. Pick one. |
| A different clock for partners and press | One clock. Everyone. |
| A teaser image that already contains the claim | No teaser until lift. The picture is part of the story. |
The wink is the worst one. A smiley in an embargo email tells the reader you do not expect it to hold. They will believe you.
What do you send with the note?
- The lock paragraph above, at the top, not the footer.
- The public URL that will go live when the clock lifts.
- One contact who answers phones before 8:00am.
- A kill rule: if a partner posts early, the desk names the breach internally and the public line stays the freeze line.
Do not reward the leak with an earlier official post unless counsel and the message owner say the clock is dead. A dead clock is a decision. It is not a vibe.

Who gets on the preview list?
Fewer people than you think. Every name on the list is a door the story can walk out of.
Write the list before you write the email. Put each name next to a reason. “Needs time to prepare a validator quote” is a reason. “Would be upset if left out” is not.
Coalition partners are the hard case. They helped build the finding and they want to be ready. Give them the same clock and the same freeze line as the press, in writing, and ask each partner to name one person who will hold it.
What does the principal say if a reporter calls early?
The freeze line. Word for word. Then nothing.
Practise it out loud the night before. Principals are trained to be helpful on calls, and helpful is how embargoes break. A principal who says “I cannot confirm, but you are not wrong” has just confirmed.

Paste-ready script for the principal:
“I have a note coming at 8:00am. I will not preview the claim. The desk will send it to you the minute it lifts.”
What happens when the clock lifts?
The URL you promised goes live at the time you promised. Same page. Same headline. Same numbers as the embargoed note.
Then send one short follow-up to the preview list with the live link. No new claims in the follow-up. If you changed anything after the note went out, say what changed in one line, the way you would in a correction.
Monday field kit
- Write the four lines before you attach the PDF.
- Put the clock in the filename and the first paragraph.
- Brief the principal out loud.
- Tell partners the freeze line is the only line.
- After lift, send the same URL you promised. Do not swap the page.
FAQs
What is press embargo English?
Press embargo English is the short lock that names the object, the lift time, the preview list, and the freeze line staff use if asked early. It sits at the top of the email, not in the footer.
Is an embargo legally binding?
An embargo is usually treated as a professional agreement between a source and a newsroom, and it runs on trust. Whether anything more applies to your material is a question for counsel, so do not invent a penalty in the email.
What if a reporter asks “is it true that…” before lift?
The spokesperson uses the freeze line and stops. Do not confirm the claim by arguing with it.
What if the embargo breaks?
A broken embargo is a decision point, not a panic. The message owner and counsel decide whether the clock is dead, and until they do, every staff member stays on the freeze line.
What to do this week
Rewrite the last embargo email. Move the clock to line one. Delete the wink.
