A three-minute CSO slot is not a speech. It is a contact event.

If the name, office, promise, and next clock die in a Notes app, you did not organise. You collected vibes.

CRM field note English is the sentence set a tired organizer can type before leaving the building: who, what was asked, what was said back, who owns the follow-up, and when.

This is the language companion to our piece on community organizer CRM hygiene when CSOs get three minutes. That post is the system. This one is the words you put in the fields.

Neuwark Communications builds advocacy operations language for Philippine and APAC desks. This is not legal advice and not a promise that any official will take your meeting.

What goes in the five-line field note?

Field Job Pattern
Who Named person + function, not “the committee” “[Name], [role], [office].”
Ask The one thing you requested in the slot “Asked for [document / meeting / language in the report].”
Reply What they actually said “Replied: [quote or plain paraphrase]. Not: what we hoped.”
Owner Who on our side follows “[Organizer name] owns follow-up.”
Clock Next visible action “By [day, time]: [email / call / file drop].”

Worked example:

Who: [Name], committee staff, budget secretariat desk.
Ask: Posted timetable for the next resource-person slot, and confirmation that our three-page note is in the file.
Reply: “Send the note to this address today. Slots posted on the committee page.”
Owner: [Organizer] owns the send and the CRM log.
Clock: File drops by 5pm. CRM updated before we leave the hall.

If you cannot say it in five lines, you do not have a note. You have a diary.

Kill this, say this panel: habits crossed out, replaced by empty notes into CRM, read the row aloud, verbs and clocks only.
Kill this: the habit lines.

Which phrases should never hit the CRM?

Kill Why it hurts Replace with
“Very supportive” Uncheckable. Inflates the pipeline. Quote the sentence they said.
“They promised” Promise is a legal-sounding word. Staff rarely have it. “They said they would [verb] by [clock].”
“Offline later” No owner, no channel. Named channel + named person.
Gossip about motives Contaminates the file if it leaks. Behaviour only.
Personal mobile copied from a hallway photo Consent and safety failure. Number they handed you, marked source.

Street-smart English here is boring on purpose. The next organizer on the night shift has to act from this row.

What do you send in the follow-up email?

Same spine. No throat-clearing.

Subject: Note from today’s [hearing / briefing] — [org], [date]

Thank you for the three minutes this afternoon.
As discussed, we are sending the three-page note to this address.
We asked for the posted timetable for the next resource-person slot.
You said the slots go up on the committee page.
We will check that page on [day]. Our contact is [name, email, number].

Flat illustration, APAC crowd-flow diagram toward the exit: Empty notes into CRM, read the row aloud, verbs and clocks only.
Desk note: Verbs and clocks only.

One ask. One clock. One named human.

Do not attach a manifesto. Do not CC the whole coalition on first contact. Do not write “as per our discussion you committed to include our language.”

Monday field kit

  1. Empty the Notes app into the CRM before the jeepney ride. If it is not in the CRM, it does not exist.
  2. Read the row aloud to a colleague. If they cannot name the next action, rewrite.
  3. Delete adjectives. Keep verbs and clocks.
  4. Search your own name in the CRM. If last week’s contacts have no next clock, you are running a graveyard.

FAQs

What is CRM field note English?

It is the short, checkable text organizers put in a contact record after a hearing, briefing, or hallway conversation: who, ask, reply, owner, clock.

Can we write the note in Filipino?

Yes. Keep the same five fields. Do not mix a poetic FIL sentence with an English field that invents a promise. Lock names and numbers identically across languages.

Is this legal or lobbying advice?

No. Hearing rules, lobbying registers, and gift rules are jurisdiction-specific. Escalate to counsel when the contact is an official act, not a hallway chat.

What to do this week

Pick the ten contacts from plenary week that still live in Notes. Write five-line English (or FIL) rows. Put a clock on each. Kill “very supportive.”
